Privacy Policy

This policy explains what MailerMen collects about you, why, who else sees it, and how to make us delete it. It covers this website and everything you can do on it.

1. Who we are

MailerMen is a job board published by MailerMen, Bengaluru, Karnataka, India. In data protection terms we are the data controller for the personal data described here — we decide what is collected and why.

2. What we collect

Only what a job board actually needs. There is no tracking pixel network here and no data broker buying our records.

Browsing without an account

You can search and read every job on this site without telling us who you are. Our servers keep the ordinary technical records any web server keeps — IP address, browser and device type, the pages requested and when. We also count views per job so the “most viewed” sort works; that counter is not tied to you.

If you create an account

  • Required: your name, email address and a password. The password is stored only as a bcrypt hash — we cannot read it, and neither can anyone who obtains the database.
  • Optional profile: phone number, headline, a short about, location, years of experience, current company and title, skills, preferred job types and locations, expected salary, whether you are open to work, and links to your CV, GitHub, LinkedIn or portfolio. Every one of these is optional and exists to save you retyping it on each application.

If you apply for a job

We store your name, email, phone, a link to your CV, your cover note and any profile links you include, against that specific job. You can apply as a guest without an account. If you upload a CV file rather than linking one, that file is stored on our server and served from a link.

If you contact us

The contact form stores what you type into it — your name, email, optional phone, your message, and for a hiring enquiry your company name and website — along with the page you sent it from. It is used to answer you and to keep a record of the conversation.

3. Why we use it, and on what basis

  • To run your account and your applications — this is performance of our agreement with you. Without it there is no way to sign you in or pass an application on.
  • To keep the board safe and working — rate limiting, blocking abuse, fixing faults. Our legitimate interest in a site that is not overrun by bots.
  • To answer you when you write to us.
  • To understand what gets used, in aggregate, so we know which categories and countries to expand.
  • To show advertising, which is what pays for the board. Where the law requires consent for this, we ask for it, and you can withdraw it at any time.

We do not sell your personal data. We do not use it to train machine learning models. We do not send marketing email you did not ask for.

4. What an employer sees

This is the part most people want to know, so it gets its own section.

When you apply to a job, the employer receives that application — your name, email, phone if you gave one, your CV link, your cover note and any profile links attached to it. That is the entire point of applying, and it cannot be undone once sent, in the same way an email cannot be unsent.

What an employer does not get: your account, your saved profile, your expected salary, or the fact that you applied to any other job. Employers cannot browse our users and there is no CV database for them to search. They see the applications sent to their own roles and nothing else.

Once an application reaches an employer, what they do with it is governed by their privacy policy, not ours. If you want it deleted from their systems, you have to ask them — tell us and we will pass on the request and give you their contact.

5. Cookies, advertising and analytics

We set a session cookie when you sign in. It is what keeps you signed in, and the site cannot work without it.

The rest of the cookies on this site come from the vendors below. Their cookies are set by them, under their own policies, and can follow you to other sites they operate on:

Google and its partners may use cookies to show ads based on your prior visits to this and other sites. You can turn personalised advertising off for your Google account at Google Ads Settings, and opt out of many other vendors at optout.aboutads.info. Your browser settings can block or clear cookies entirely; the job board itself keeps working, but you will have to sign in again each visit.

6. Who else we share it with

Four categories, and no others:

  • Employers — the applications you deliberately send them, as described in section 4.
  • Infrastructure providers that host the site, the database and the uploaded files on our behalf, under contract and only to run the service.
  • The advertising and analytics vendors listed in section 5.
  • The authorities, where a valid legal demand requires it, or where we need to establish or defend a legal claim.

Some of these providers operate outside your country, so your data may be processed elsewhere. Where that happens we rely on the safeguards those providers offer, such as standard contractual clauses.

7. How long we keep it

  • Your account: until you ask us to delete it.
  • Applications: kept while the employer may still act on them, and retained afterwards as the record that you applied. Ask and we will remove yours.
  • Enquiries you send us: kept while we deal with them and for a reasonable period afterwards for our own records.
  • Server logs: a short rolling window, for security and fault-finding.

8. Your rights

Whatever country you are in, you can ask us to do all of the following, and we will not charge you for it:

  • Tell you what personal data we hold about you, and give you a copy.
  • Correct anything that is wrong — most of it you can edit yourself on your profile.
  • Delete your account and the data attached to it.
  • Stop using your data for a particular purpose, including advertising.
  • Withdraw a consent you previously gave, at any time.

Email privacy@mailermen.com from the address on your account and we will act within 30 days. If you are in India, this is also the address for a grievance under the Digital Personal Data Protection Act, 2023; if you are in the EEA or UK, you may additionally complain to your local data protection authority.

One limit worth stating honestly: deleting your account does not reach back into an employer’s own systems for an application you already sent them. Section 4 explains what to do about that.

9. How we protect it

Traffic is served over HTTPS. Passwords are stored as bcrypt hashes and are never written to logs or returned by our API. Administrative access is restricted to named operator accounts, and applications and enquiries are readable only by a signed-in operator.

No system is perfectly secure, and anyone who tells you otherwise is selling something. If we ever suffer a breach that puts you at risk, we will tell you and the relevant regulator without undue delay.

10. Children

This is a site for people looking for work. It is not directed at children, and we do not knowingly create accounts for anyone under 16. If you believe a child has given us personal data, tell us and we will delete it.

11. Changes to this policy

When this policy changes, the date at the top of the page changes with it. That date is set by hand, only when the text actually changes — it does not move on every deploy, so it is a real signal. For a change that materially affects you, we will do more than move a date: we will say so on the site or by email.
